Create a voice assistant that manages workshop appointments for your dealership. The agent connects to your TKP system and enables callers to search, book, and manage appointments — around the clock, with no waiting time.

Basic Info

This is where you configure the core identity and personality of your workshop appointment assistant. These settings determine how your assistant introduces itself and how it sounds to callers.

Agent Name

A descriptive name that helps you identify this assistant in your dashboard. This name is only visible to you and your team — callers will never hear it.
Use a name that reflects the assistant’s purpose, e.g. “Workshop Appointments Main” or “Service Hotline North Branch”.

Welcome Message

This is the very first sentence your assistant speaks when it picks up a call. It sets the tone for the entire conversation and helps callers understand who they’re talking to. What makes a good welcome message?
  • Keep it short and friendly (1-2 sentences)
  • Introduce the workshop or service department
  • Invite the caller to state their appointment request
  • “Hello! Welcome to the appointment booking line of Miller Auto Service. How can I help you?”
  • “Hi there, you’ve reached the service hotline of Schmidt Automotive. Would you like to book a workshop appointment?”
Avoid very long introductions — callers want to get to the point. Stay away from technical jargon that might confuse the caller.

Voice

Choose the synthetic voice your assistant will use to speak. The voice determines the sound, tone, and accent of your assistant’s speech.
  • Naturalness: Some voices sound more human-like than others. Preview them to find the best fit
  • Language & accent: Make sure the voice matches the language your callers expect
  • Brand fit: A professional dealership might prefer a calm, clear voice

Services

Select the workshop services that your assistant should offer to callers. Only the services enabled here can be used by the assistant when booking appointments.

Available Services

The list of services is loaded directly from your TKP system. You will see all services configured for the selected branch. Examples of typical services:
  • Inspection / Maintenance
  • Tire change
  • Vehicle inspection (MOT/TUV)
  • Oil change
  • Brake service

Selecting Services

Check the boxes next to the services the assistant should offer. Unchecked services will not be suggested to callers.
Start with the most frequently requested services. Fewer services lead to a more focused conversation. You can adjust the selection at any time later.

Brand Selection

If your dealership services multiple vehicle brands, you can restrict the supported brands here. The assistant will only offer appointments for the selected brands.

TKP Connection

This is where you connect your assistant to your appointment calendar system (TKP). The TKP connection allows the assistant to search, book, and manage appointments in real time.

OAuth Provider

Select the OAuth provider that has been configured for authentication with your TKP system. If no provider is shown, one must first be created under Integrations.
Only JWT OAuth providers are supported. Standard OAuth providers are not suitable for TKP connections.

Group and Branch

After selecting the OAuth provider, the available groups and branches are loaded. Choose the group and branch for which the assistant should manage appointments.
  • Group: Your company group in the TKP system
  • Branch: The specific location for which appointments will be offered
Each assistant is bound to one branch. For multiple branches, create separate assistants.

Connection Test

After selecting the branch, the system automatically verifies the connection. A green checkmark confirms that the connection is working and appointments can be retrieved.

Call Forwarding

Call forwarding lets your workshop assistant transfer callers to a real person when the situation requires human attention.

How It Works

During a conversation, the AI evaluates whether a caller’s request matches one of your forwarding rules. If a match is found, the assistant informs the caller that it will connect them, and then transfers the call to the specified phone number.
This ensures that complex issues are handled by the right person — while routine appointment requests continue to be handled automatically.

Enable / Disable

Use the toggle at the top to turn call forwarding on or off. When disabled, the assistant will never forward calls, even if rules are defined.

Forwarding Rules

Each rule consists of three parts: Intent (When to forward) Describe the situation that should trigger a forward in natural language.
  • “The caller has a complaint about a completed repair”
  • “The caller wants a cost estimate for accident damage”
  • “The caller asks about the status of an ongoing repair”
  • “The caller wants to speak to a service manager”
Description A short label for your own reference. Phone Number (Where to forward) The phone number to which the call should be transferred. Use the full international format (e.g. +4930123456789).
Start with 2-3 rules for the most common transfer scenarios. Make intents specific enough to avoid accidental forwards. Test your rules by making a few sample calls after setup.

Functions

Here you define which actions your assistant can perform. Each function group gives the assistant specific capabilities for appointment management.
For most workshops, we recommend enabling at least Appointment Search, Create Appointment, and Vehicle Search. This combination fully covers the typical booking process.
