What does transcript retention control?

With transcript retention, you define per voice agent which transcription data may be stored. This includes in particular conversation transcripts in the call history and transcription data derived from them.
Important: Internal archives remain available for analytics and system purposes. The retention modes affect the storage and availability of transcripts within the product.

The four retention modes

Full retention

Transcription data is stored normally. Post-processing runs as usual, and conversation content remains available in the call history.

Zero retention

No transcription data is stored. Post-processing tasks are not executed in this mode.

Zero retention after post-processing

Transcription data is held only temporarily for post-processing and deleted afterwards. This mode operates on a best-effort basis: even if post-processing fails or is skipped, the transcription data is still removed afterwards.

Automatic deletion

Transcripts are stored initially and automatically deleted after the selected period. Suitable when conversation content should be available for a limited time.

Notes on automatic deletion

With automatic deletion, you choose a fixed period, for example 1 day, 1 week, or 30 days. Once this period expires, transcription data is removed automatically.
Important for shared recordings: If recording links were shared via email or by other means as part of post-processing, these links are also revoked once the deletion period expires and can no longer be accessed.

Notes on “Zero retention after post-processing”

This mode is useful if you want to keep using post-processing but do not want conversation transcripts to remain permanently visible in the system.
  • The transcript is retained only as long as it is needed for post-processing.
  • Once processing is complete, the transcription data is removed.
  • If post-processing fails or no processing takes place, the transcript is still deleted.
Practical note: Use this mode if you want to keep generating post-processing results such as emails, SMS, or API calls without keeping the actual conversation transcript permanently available.

Where do I configure retention?

  1. Open your voice agent in edit mode.
  2. Switch to the “Advanced” tab.
  3. Scroll to the “Transcript Retention” section.
  4. Select the desired retention mode. For “Automatic deletion”, also select the desired period.
Note: Depending on the selected mode, other features may be restricted automatically. For example, call recording is not available with retention modes that do not store transcripts permanently.
